Permit expiry tracking for civil engineers in Notion

Track permits in a Notion database with one entry per approval: authority, reference, granted date, expiry date, conditions and the project it belongs to. A formula for days remaining, a view of items expiring in 90 days and a date reminder for the owner turn expiry dates from something remembered into something surfaced.

Why do permits expire unnoticed?

Permits usually arrive as a PDF and a line in an email. The expiry date is rarely entered anywhere that anyone will look at it again. On a long project, by the time it matters the person who received the permit may have moved on. A register fixes this by making the date a property you can filter and sort.

What should the Permits database contain?

PropertyTypeWhy it matters
Permit nameTitleShort, searchable description
ProjectRelationShows permits on the project page
Authority and referenceTextWho issued it and under what number
StatusStatusNot applied, submitted, granted, conditional, expired, renewed
Granted / ExpiresDatesThe two dates every view is built on
Renewal lead time (days)NumberHow long renewal takes, so you start in time
Renew byFormulaExpiry minus lead time
OwnerPersonOne accountable person
ConditionsRelationLinked list of conditions and their status
DocumentURL or fileLink to the issued permit

How do you build the reminders?

  1. 1

    Add a 'Renew by' formula

Subtract the renewal lead time from the expiry date, using Notion's date functions.

  2. 2

Create a 'Renew in the next 90 days' view

Filter to active permits where Renew by is within 90 days, sorted ascending.

  3. 3

    Add a 'Days remaining' formula

Use a date difference to show the days to expiry, and colour it in the view.

  4. 4

    Set a reminder

Use a date property reminder or a database automation to notify the owner when Renew by is reached.

  5. 5

    Review weekly

Put the view on the home page and check it every Monday.

How do you track permit conditions?

Make Conditions their own database: condition text, due date or trigger (such as 'before occupation'), status and the permit it belongs to. A permit page then lists its conditions and which are discharged. This is where projects slip: the permit is valid, but a condition was missed.

What are the limits?

Notion does not know permitting rules or validity periods in any jurisdiction; you enter the dates from the permit. For regulated records that require audit trails, keep the authoritative file in your document system and use Notion as the visible index.

Frequently asked questions

How do I track permit expiry dates?
In a Permits database with expiry date, renewal lead time and an owner, with a view of permits expiring in the next 90 days.
Can Notion send expiry reminders?
Yes, using date property reminders or database automations to notify the owner when a renewal date is reached.
What is a renew-by date?
The expiry date minus the time renewal takes, so the reminder arrives early enough to act.
Should permit conditions be tracked separately?
Yes. A Conditions database linked to each permit shows what remains to be discharged.
Can Notion calculate permit validity periods?
No. Enter the dates from the permit itself; Notion displays and reminds.
