Notion for civil engineers: the complete guide to running projects and permits

Civil engineers use Notion as the coordination layer around their design software: a Projects database linked to Deliverables, Permits, RFIs, Site visits and Calculations, with saved views for what is due, expiring or waiting on someone else. It organises the work; it does not replace CAD, analysis software or formal document control.

Why do civil engineering teams use Notion?

A civil project runs on a long chain of dependencies: surveys, design stages, permits, utility coordination, contractor queries and site observations. Most practices hold these across email, spreadsheets and shared drives. Notion's advantage is connection: a project page can show its open permits, overdue deliverables and recent site notes without anyone copying data between files.

It is also quick to adapt. When a new approval authority or client reporting format appears, you add a property or a view rather than commissioning a tool change.

Which databases does a civil engineering practice need?

DatabaseAnswersKey properties
ProjectsWhere does each job stand?Client, stage, lead engineer, fee, key date, status
DeliverablesWhat do we owe, and when?Title, stage, due date, owner, status, project
Permits and approvalsWhat is granted, pending or expiring?Authority, reference, submitted, granted, expiry, conditions
RFIs and queriesWhat is the contractor waiting on?Number, question, raised, due, answered, project
Site visitsWhat did we see and instruct?Date, attendees, observations, actions, photos
Calculations registerWhich calc supports which decision?Title, revision, checked by, file link, project

How do you set it up, step by step?

  1. 1

    Create Projects

Start with status, stage, client and lead engineer. Add a key-date property for the next hard date.

  2. 2

    Add Deliverables

One entry per drawing, report or calculation package, related to the project, with an owner and due date.

  3. 3

    Add Permits

One entry per approval with authority, reference, granted date and expiry, so renewals are visible.

  4. 4

    Create the daily views

Due this week, Overdue, Waiting on others, and Permits expiring in 90 days.

  5. 5

Put the views on a home page

The first screen each morning should answer: what is due, what is late, what is expiring.

What should stay outside Notion?

  • Models, drawings and analysis files: keep them in your design software and link the issued revision.
  • Formal document control where the client or contract requires a common data environment.
  • Accounting, timesheets for payroll and tendering systems.
  • Anything with safety-critical sign-off requirements: use Notion to track the status, and your quality system to hold the record.

A common mistake is trying to make Notion the system of record for everything. Use it for visibility and coordination, and link out to the authoritative files.

How do you keep it reliable?

Adopt two habits: update the project page at the end of each site visit or submission, and review the 'overdue' and 'expiring' views every Monday. A workspace nobody checks drifts within weeks.

Frequently asked questions

Is Notion suitable for civil engineering firms?
Yes for coordination: projects, deliverables, permits, queries and site notes. It is not a replacement for design software, document control systems or accounting.
Can Notion track planning permits and approvals?
Yes. A Permits database with authority, reference, granted date and expiry, plus a view of items expiring soon, is one of its most useful applications for engineers.
How do I store drawings and calculations?
Keep source files in your design tools or file server and record each deliverable's revision, status and a link in Notion.
Is Notion secure enough for client project data?
Review Notion's security documentation and your client contracts. Share only dedicated pages with clients and keep sensitive material in the systems your contracts require.
Do I need a template?
No, but a ready structure saves setup time. Start with Projects and Deliverables and add one database a week.
