What does a structural practice need to track?
Structural work is checked work. Each calculation package has an author, a checker, a revision and a design basis; each drawing set has an issue purpose and recipients; each site inspection leads to instructions. The risk is not forgetting the maths, it is losing track of which version was checked and issued.
Which databases should you build?
| Database | Purpose | Key properties |
|---|---|---|
| Projects | Every job and its stage | Client, stage, lead, programme dates, fee |
| Design basis | Assumptions, codes, loads | Project, item, value, source, date |
| Calculations | The register of calc packages | Title, revision, author, checker, status, file link |
| Drawing issues | What went out, when, to whom | Sheets, purpose, date, recipients |
| Design reviews | Internal checks and comments | Item, reviewer, comments, resolved |
| Site inspections | Observations and instructions | Date, items inspected, findings, actions |
| Queries | Questions from the team | Raised by, question, answer, date |
How do you run the calculation register?
- 1
One entry per package
Foundations, frame, connections, temporary works and so on, each related to its project.
- 2
Add revision and status
Draft, for check, checked, issued, superseded.
- 3
Record author and checker
Two person properties; a formula flags entries where they are the same person or the checker is empty.
- 4
Link the file
Link to the issued PDF or model in your file system, not an upload.
- 5
Create the views
For check (waiting for a checker), Issued, Superseded and By project.
How do design reviews and site inspections fit?
Record each review comment as an entry with who raised it, who must respond and whether it is resolved. For site inspections, create an entry per visit with a template for what was inspected, what was found and what was instructed, and turn each instruction into an action with an owner. The project page then shows the open items.
Where should the line be drawn?
- Analysis models and calculations stay in your engineering software.
- Formal quality management records follow your quality system, not a workspace.
- Safety-critical sign-off needs the authoritative record where your procedures require it.
- Notion should show status and link; it should not be the only copy of a checked calculation.
Frequently asked questions
- Can structural engineers use Notion?
- Yes, to track projects, calculation packages, issues, reviews and inspections. It does not do structural analysis.
- How do I track checked calculations in Notion?
- With a Calculations register that records author, checker, revision, status and a link to the file.
- Does Notion replace a quality management system?
- No. It can show the status of checks and issues, but your quality system holds the formal record.
- Can I store models in Notion?
- Keep models in your engineering software and link to them; Notion cannot preview most structural model formats.
- Is it good for small structural practices?
- Yes. A small practice can run Projects, Calculations and Queries in an afternoon and add more later.
