Why does commissioning run late?
Testing and commissioning sits at the end of a project, when programme pressure is highest. Without a live register, nobody can say which systems are tested, which results were witnessed and which defects remain open, so sign-off becomes a scramble of spreadsheets and emails.
What should the commissioning databases contain?
| Database | One entry per | Key properties |
|---|---|---|
| Systems | Building system or sub-system | Project, discipline, status, rollup of tests complete |
| Tests | Test or witness point | System, description, planned date, witness, result, record link |
| Defects | Defect raised | Test, description, owner, due, status, closed date |
| Handover documents | Manual, certificate or record | System, document, received, approved |
How do you set it up?
- 1
List systems
Create each system or sub-system the project will commission.
- 2
Add the tests
Use a database template per system type so every system gets the same set of test entries.
- 3
Plan dates and witnesses
Record planned date and who must witness each test.
- 4
Record results as they happen
Set the result, attach or link the test record, and raise defects against failures.
- 5
Roll up progress
On Systems, count tests passed against total to show percent complete.
Which views drive sign-off?
- Outstanding tests this week, by witness.
- Failed tests awaiting a defect fix.
- Defects open, oldest first, by owner.
- Systems not ready for handover, with the blocking items.
- Documents awaiting receipt.
These views let the weekly commissioning meeting run from the screen rather than from a printed list.
What are the limits?
The formal test records and certificates follow your procedures and the project's requirements; keep the authoritative copies where those require and link to them. Notion shows status; it does not witness or certify anything.
Frequently asked questions
- How do I track commissioning in Notion?
- With Systems, Tests, Defects and Handover documents databases linked together, and views for outstanding and failed items.
- What is a commissioning register?
- A list of every test, witness point and result for each building system, used to manage completion and sign-off.
- Can Notion hold commissioning certificates?
- Link or attach them where permitted, but keep the authoritative records where your procedures require.
- How do I show completion per system?
- Use a rollup on Systems that counts tests passed against tests total.
- When should I start the register?
- At design stage, so tests are planned and priced before construction rather than invented at the end.
