Which should you choose: Notion, spreadsheets or dedicated software?
Choose by what hurts. If your pain is calculations, a spreadsheet is right. If it is scattered project information (drawings, approvals, decisions, fees in different places), Notion fits a small practice. If it is staffing, timesheets, project accounting and forecasting across many people, dedicated architecture or A&E firm software is built for that. These are not exclusive, and many small studios use two of the three.
How do they compare?
| Need | Spreadsheet | Notion | Dedicated software |
|---|---|---|---|
| Calculations and what-ifs | Excellent | Basic formulas | Built-in reports |
| Linked records (project > drawings > invoices) | Manual lookups | Strong (relations) | Strong |
| Views for different audiences | Limited | Strong | Varies |
| Timesheets and utilisation | Manual | DIY | Typically built-in |
| Accounting and invoicing integration | Manual | Limited | Often integrates |
| Setup effort | Low | Medium | Higher |
| Cost | Low | Low to medium | Typically higher; check vendors |
Treat the last row with care: software vendors often do not publish prices, so request a quote.
When do spreadsheets stop working?
- The same project name is typed in several sheets
- Two people edit different copies
- You need a client or consultant to see only part of it
- Formulas depend on lookups nobody understands
- You cannot answer 'which version is current?'
If two or three apply, move the connected parts to a database tool. Keep spreadsheets for models, such as a fee calculation or area schedule.
When does dedicated architecture software make sense?
Products built for architecture and engineering firms, such as Monograph, Deltek Ajera and BQE Core, are described in review roundups as covering project financials, time and expense tracking, invoicing and staffing or utilisation. Reviewers describe Ajera as an ERP-style platform aimed at larger firms, and Monograph as built for A&E firms with budget and timeline views. Several of those sources are vendor blogs or affiliate roundups, so test with a demo and ask for current pricing and features.
Signs you have outgrown Notion: more people than you can reconcile by hand, needs for timesheet approvals, multi-currency or multi-entity billing, or a finance person who wants accounting integration.
Where does Notion win for a small practice?
Flexibility and connection: you build the stages, statuses and fee types you actually use, link them and show different views to different people. It costs less to try, and you can leave. It fails when you expect it to behave like accounting software, because it does not do timesheet approvals, tax, or ledgers.
A hybrid is common: Notion for project operations, accounting software for money, and spreadsheets for calculations.
A quick decision checklist
- List your top three problems this quarter.
- Mark each: calculation, connected information, or financial and resource management.
- If most are connected information and the team is small, trial Notion on one project.
- If most are financial and resource management, request demos of dedicated software.
- If it is mostly calculation, improve the spreadsheet and stop there.
- Re-check after two to three months of real use.
What does the migration path look like?
Moving from spreadsheets to Notion is easiest when done by database, not all at once.
- 1
Pick the sheet that causes most pain
Usually the project list or the drawing register.
- 2
Clean it
One header row, one record per row, consistent select values.
- 3
Import the CSV
Notion can import CSV into a database; check property types afterwards.
- 4
Add the relation
Link it to Projects so it connects.
- 5
Retire the sheet
Archive it read-only to avoid two sources of truth.
Moving from Notion to dedicated software later is also possible: export databases as CSV and import into the new tool where it supports that. Ask any vendor what they can import before committing, as capabilities differ.
Where ArchitectOS fits
ArchitectOS (we make it, $79) is for the middle case: a small practice that wants connected projects, drawings, approvals and fees in Notion without building it from scratch. It is a template, not practice-management software, and has no timesheets or accounting integration.
Frequently asked questions
- Can Notion replace architecture project management software?
- For a small practice tracking projects, drawings, approvals and fees, often yes. For timesheets, resource planning, forecasting and accounting integration across a team, dedicated software is usually a better fit.
- Is Notion better than Excel for architects?
- For connected records and shared views, generally yes. For calculations and what-if modelling, Excel or a similar spreadsheet is stronger. Many practices use both.
- What dedicated software exists for architecture practices?
- Examples include Monograph, Deltek Ajera and BQE Core, among others. Check each vendor for current features and pricing, as published roundups are often vendor or affiliate content.
- When should a small studio move off spreadsheets?
- When the same data is typed in several places, versions diverge, or you need people to see only part of the data. Those are signs you need linked records.
- Can I use Notion with accounting software?
- Yes, as separate tools: Notion for project tracking, accounting software for ledgers and legal invoices, with invoice numbers cross-referenced. Direct integrations depend on tools and plans; check them.
