How is consultant work different from a design practice?
Consultants sell expertise against a defined scope, often to several design teams at once, working to programmes they do not control. The tracking problem is therefore less 'where is the design' and more 'what have I promised, to whom, by when, and is it still within scope'.
Which databases fit a consultancy?
| Database | Purpose | Key properties |
|---|---|---|
| Clients | Who engages you | Contacts, engagements, relationship notes |
| Engagements | Each appointment | Client, scope, fee, stage, lead, start and end dates |
| Deliverables | Everything you owe | Engagement, title, due, owner, status, version |
| Reviews | Client comments and responses | Deliverable, comment, response, status |
| Scope changes | Variations | Engagement, description, fee effect, approved |
| Fees and invoices | What is billed | Engagement, stage, amount, invoiced, paid |
| Knowledge | Reports, checklists, precedents | Topic, discipline, source engagement |
How do you control scope and fees?
- 1
Write scope as records
List what is included in the Engagement, so 'in scope' is checkable.
- 2
Log every request
When a client asks for something outside scope, record it as a scope change the same day.
- 3
Price and approve
Add the fee effect and the client's approval before starting the work.
- 4
Roll up to the engagement
A rollup of approved changes shows the true fee against the original.
How do you build reusable knowledge?
At the end of each engagement, spend fifteen minutes adding what was learned to the Knowledge database: the checklist you wish you had had, the report structure that worked, the question you should have asked at briefing. Link entries to the engagement so context travels with them.
