What does a lean Notion setup look like for a stager or small studio?
Five databases: Clients, Jobs, Inventory, Quotes and Invoices. A home stager adds a Bookings database linking inventory to jobs. A small design studio replaces Inventory with Selections and Vendors. The rest is shared.
| Database | Purpose | Key relations |
|---|---|---|
| Clients | Who: owner, agent, developer | Jobs |
| Jobs | Each staging or design project | Client, Bookings, Quotes, Invoices |
| Inventory | Furniture and accessories you own | Bookings |
| Bookings | Item on job, from date to date | Inventory, Jobs |
| Quotes and Invoices | Money in | Jobs |
How should a home stager track inventory?
Vendors of staging software emphasise one problem: showing only the items that are available when planning a job, which prevents double-booking (as Hutch and Sortly describe). In Notion you can get a basic version with a Bookings database.
| Inventory property | Type |
|---|---|
| Item and photo | Title and page cover |
| Category and room | Select |
| Dimensions | Text |
| Condition | Select: Good, Needs repair, Retire |
| Storage location | Select or text |
| Purchase cost and date | Number and date |
| Rental value | Number, if you charge per item |
| Current job | Rollup from Bookings |
Each booking row has Item, Job, Out date and Return date. A view of Inventory with no booking overlapping the new job's dates is your availability list. Overlap filters need care in Notion, so for large inventories consider dedicated software.
What does the job workflow look like?
- 1
Enquiry
Record the property, timing and budget; book a walk-through.
- 2
Quote
Itemise staging fee, rental period and styling hours.
- 3
Plan
Choose items from available inventory; create Bookings.
- 4
Install
Pack list from the bookings view; photograph before and after.
- 5
Hold and de-install
Set the de-install date; the return date frees the items.
- 6
Invoice
Final invoice, with any extension charged.
Photograph condition on return and note damage on the inventory row.
How does a small design studio differ?
A design studio sources new products for clients rather than renting from stock. It needs Selections (item, room, supplier, price, status), Vendors and approvals, as covered in the guides below. Mix both if you stage and design.
Which daily and weekly routines keep it lean?
| When | Check |
|---|---|
| Daily | Follow-ups due, deliveries and installs today, anything overdue |
| Weekly | Bookings ending, items returning, quotes awaiting reply, unpaid invoices |
| Monthly | Condition review, retire damaged items, income by source |
When should you outgrow Notion?
Signs: hundreds of inventory items needing barcode scanning, several people moving stock simultaneously, or complex availability rules. Dedicated tools exist for stagers (the search results show Hutch, Stageforce, STAGER, Sortly and TapGoods); compare their trials and pricing independently. Until then, Notion's flexibility and cost advantage are real.
Where InteriorDesignOS fits
InteriorDesignOS is built for interior design studios: Projects, Clients, Drawings, Approvals, Selections, Vendors and Fees & Invoices. It does not include a stock inventory or bookings database, so a stager would add the Inventory and Bookings structure above. A design studio can use it as is.
Frequently asked questions
- Can I run a home staging business on Notion?
- Yes at small scale. Clients, jobs, inventory, bookings and invoices fit in linked databases. Large inventories with scanning are better served by dedicated staging or inventory software.
- How do I avoid double-booking staging furniture?
- Record each use as a booking with out and return dates linked to the item and job, and filter for items with no overlapping booking when planning.
- What should a staging inventory record include?
- Photo, category, dimensions, condition, storage location, purchase cost, and the current job. Add a rental value if you charge per item.
- Is Notion free for a solo stager?
- Notion has a free plan that supports databases and relations; limits and pricing change, so check the current plans page.
- Do small design studios need a different setup?
- They typically replace stock inventory with selections, vendors and purchase orders, since products are sourced for each client.
