Running a practice

Notion for interior designers: the complete guide to running your studio

Interior designers use Notion to keep each project's rooms, selections, approvals, orders and budget in linked databases. A Projects database sits at the centre; Rooms, Selections (FF&E), Vendors, Approvals and Invoices relate to it; gallery views act as mood boards; and a weekly review catches late orders and pending decisions.

Why do interior designers use Notion?

An interior design project generates hundreds of small decisions: finishes, fabrics, fixtures, furniture, quantities, suppliers and delivery dates. Most studios start with a spreadsheet for the FF&E schedule, Pinterest for inspiration, email for approvals and a separate accounting tool for invoices. Notion's value is putting those pieces in one connected place, visual enough for mood boards and structured enough for procurement.

What should an interior design workspace include?

DatabasePurposeKey properties
ProjectsEvery job and its stageClient, stage, budget, key dates, contractor
RoomsSpaces within each projectProject, dimensions, notes, photos
Selections (FF&E)Every item specifiedRoom, category, supplier, cost, quantity, lead time, status
VendorsSuppliers and tradesContact, trade discount, lead times, items supplied
ApprovalsClient decisionsItem, decision, date, approver
Fees & InvoicesWhat is billed and owedProject, amount, date, paid

How do you manage selections and FF&E in Notion?

Make one Selections database for the whole studio, with each item related to a room and a vendor. Track a single status that moves through specified, quoted, approved, ordered, delivered and installed. A gallery grouped by room becomes the client presentation; a table sorted by lead time becomes the procurement list. The same data serves both.

How do you make mood boards in Notion?

A gallery view with large card previews turns any database into a mood board. Add images as page covers, tag them by room, palette or material, and link each to the project. You can also embed a Pinterest board on a page when a client shares inspiration there.

How do you track client approvals?

Separate design approval from permission to order. A client liking a chair is not the same as approving its final price, quantity and lead time. Record each approval as a dated entry tied to the exact item revision, and use a separate ready-to-order check before purchasing.

How do you keep procurement and budgets on track?

  • Rollups on Projects sum the cost of approved selections against the budget.
  • A view filtered to ordered but not delivered items, sorted by expected date, shows what to chase.
  • Vendor pages show every open order with that supplier, for one call instead of five.
  • Record supplier-confirmed dates separately from estimates.

How do you share work with clients?

Create a client page per project with only what the client should see: the approved scheme, items awaiting their decision and the schedule. Share it as a guest with view or comment access. A filtered view is not a security boundary, so never share the internal database with costs and trade discounts.

What weekly routine works for a design studio?

  • Monday: review approvals pending and chase decisions due this week.
  • Wednesday: check orders not yet delivered, sorted by lead time.
  • Friday: update each project's stage and log the week's site notes.

How do you get started?

  1. 1

    Pick one live project

Enter its rooms and the items already specified.

  2. 2

    Add vendors and approvals

Link each item to its supplier and record any decisions so far.

  3. 3

    Create two views

A gallery by room for the client and a table by lead time for you.

  4. 4

    Review after two weeks

Keep what you used, simplify what you didn't, then add the next project.
