Planting schedule tracking for landscape architects in Notion

Build the planting schedule as a database related to a Plants library and to the project: one row per plant per planting area, with quantity, size, planting window and supply status. Because the schedule reads from the plant library, a change to a plant's details updates everywhere, and filtered views produce schedules by area, window or supplier.

Why not just use a spreadsheet?

A spreadsheet planting schedule works until the third project, when you retype the same plant details, a supplier changes a size and nobody knows which schedules are affected. Relating schedule rows to a plant library removes the retyping, and a plant's performance notes follow it from project to project.

What should each schedule row contain?

PlantRelation to PlantsPulls in Latin name, habit and notes
Project and areaRelationsWhere it is planted

Pot or root sizeSelectSupply size, as specified
Spacing or densityText or numberPer the planting design
Planting windowDate rangeWhen it can go in

How do you build it?

  1. 1

Create or reuse the Plants library

One entry per species or cultivar with the properties you filter on.

  2. 2

    Create the Planting schedule database

Add the properties above and relate each row to a plant, project and area.

  3. 3

    Add a line-total rollup

Roll up quantities by area and by plant for ordering.

  4. 4

    Save views

By area (for the drawing schedule), by planting window (for the programme), by supplier (for orders).

  5. 5

    Update status on site

Mark rows delivered and planted during site visits.

How do you handle substitutions?

Plants become unavailable. Record the original specification, the proposed substitute, the reason and who approved it, as a linked entry. The schedule then shows the current approved plant while keeping the history, which protects you if a client later asks why the planting changed.
