A precedent and case-study database in Notion for architects and students

An architecture precedent database in Notion is one database with a row per building or project, properties for typology, scale, location, materials, structure and source, a few controlled tags, and a Lessons field that records what you will reuse. Link each precedent to your own projects so research feeds design.

What is a precedent database, and why use Notion for it?

A precedent database is a structured library of buildings and projects you have studied: what they are, what they teach and where the information came from. Students use one for studio and thesis research; practices use one for pitches, briefs and detailing. Notion suits it because a database can be filtered by typology or material, shown as a gallery of images, and linked to your projects.

Notion's own gallery lists a personal architecture database template, and its listing is a reasonable place to see one layout. This page is about designing the structure yourself so that it fits how you work. Last reviewed: 30 October 2026.

Which properties should each precedent have?

PropertyTypeWhy

Architect / officeTextSearchable by designer
Location, yearTextContext; sort by period
TypologySelectHouse, school, library, housing and so on; one value only
ScaleSelectSmall, medium, large, or a floor-area band you define
Structure and materialsMulti-selectTimber, concrete, steel, masonry and so on
Strategy tagsMulti-selectCourtyard, daylight, section, circulation: from your controlled list
LessonsTextWhat you will reuse, in your words
Drawings heldCheckbox setPlan, section, details, photographs
Source and rightsURL and selectWhere it came from; own, permission needed or reference only

Resist adding properties you will not fill. Thirteen is already plenty; if a column is empty on most rows, remove it.

How do you design a tag taxonomy that stays usable?

Free-text tags drift: daylight, Daylight and day-lighting become three tags. Keep a controlled list and change it deliberately.

  1. 1

Start with 15 to 25 tags

Group them as spatial, environmental, structural and social. Write them down before you add precedents.

  2. 2

Add a tag only after three uses

If three precedents need the same new idea, add it; otherwise use Lessons text.

  3. 3

    Merge quarterly

Once a quarter, merge near-duplicates and remove tags with only one row.

  4. 4

    Keep typology separate from strategy

A school is a typology; courtyard is a strategy. Mixing them makes filters useless.

How do you write a Lessons entry that you will actually reuse?

A good lesson is specific, short and transferable. Compare: "Beautiful use of light" (useless later) with "Clerestory over the circulation spine gives daylight to a deep plan without losing north-light privacy; the spine is 2.4 m wide" (reusable). Aim for two to four lines in three parts.

  • What it does: the move in one sentence.
  • Why it works: the condition that makes it possible, such as orientation, structure or budget.
  • When not to copy it: the context where it would fail.

Add one line on the source quality: measured drawings, published plans, your own site visit or a magazine photograph. The difference matters when you rely on a dimension.

Where do our templates fit, and what do they not do?

We make ArchitectOS and InteriorDesignOS, $39 Notion templates, so weigh this accordingly. They are studio-management templates with Projects, Clients, Drawings, Approvals, Selections, Vendors, Fees & Invoices, a Pin Board and a Template Vault. They do not ship a precedent database. The Pin Board and Template Vault are the nearest places to keep references loosely; a dedicated database like the one above is better for structured research.

If you are a student, our free guides are a better start than a paid template.

Frequently asked questions

What is an architectural precedent study?
A precedent study analyses an existing building or project to learn from its plan, section, structure, materials or context, then applies the lessons to new design work. A database makes those studies searchable instead of scattered across folders.
How do I build an architecture database in Notion?
Create one database with a row per precedent, add select and multi-select properties for typology, scale, materials and tags, add a Lessons text field and a Source field, then build gallery and filtered table views.
What properties should an architecture case study database have?
Name, architect, location and year, typology, scale, structure and materials, strategy tags, lessons, drawings held, source and rights status, and a relation to your projects. Keep only the properties you will fill.
Can I store copyrighted images in Notion?
Store images you own or have permission to keep, and link to the rest with the source URL. Record rights status per row. Check the publisher's and your institution's rules before reusing images in a portfolio.
Is there a free Notion template for architecture research?
Notion's gallery lists a personal architecture database template, and students share others. Preview before duplicating, check the licence, and compare the properties against your own research needs.
